Notion AI Meeting Notes: How It Works and Which Plans Include It
How Notion AI Meeting Notes captures a call on each device and when a separate note-taker fits better.
Notion AI meeting notes generate automated summaries and action items directly inside a Notion page by capturing system audio and microphone input without an external recording bot.
At Layer3Labs, we build artificial intelligence (AI) workflow and document automation for small and mid-sized teams. Every rollout starts with whether a tool the team already pays for covers its calls.
Full ongoing access requires a Notion Business or Enterprise subscription, while Free and Plus plans receive only a limited trial.
Notion AI Meeting Notes Setup and Audio Capture
You start Notion AI Meeting Notes by typing /meet in a page in the Notion desktop app. On desktop it captures system audio and your microphone with no bot, then writes a summary and action items into that page.
Notion offers four ways to start a session.
What gets captured depends on whether you use the desktop app, a browser or the mobile app.
- Page command: type /meet into any page inside the Notion desktop application to start recording immediately. Using this command in a web browser prompts you to download or open the desktop app.
- Home dashboard: open the Upcoming events tile inside Notion Home to launch meeting notes with one click.
- Notion Calendar: select the Join and transcribe button that appears on scheduled calendar events starting 15 minutes before your meeting begins.
- Sidebar navigation: access the Meetings tab in the Notion desktop sidebar, which organizes your meeting records as Notion rolls the feature out to accounts.
- Desktop app capture: runs on macOS 13 or later (app version 4.7.0 or higher) or the latest Windows version. It captures system audio and your microphone with no bot, requiring system audio and screen recording permissions.
- Web browser capture: records only input from your local microphone. Browser sessions cannot capture remote participant voices playing through computer speakers.
- Mobile capture: the Notion mobile app records in-person speech through the phone microphone. It cannot transcribe remote callers on a phone conversation.
- Audio file import: accepts pre-recorded audio uploads in AAC, M4A, MP3, and WAV formats. Video uploads such as MP4, MOV, and Loom files are not supported.
Plan Requirements for Notion AI Meeting Notes
Full access to Notion AI meeting notes requires a paid Business plan or Enterprise plan as of October 2026, so confirm current figures on the Notion pricing page.
The Plus plan costs $12 per member monthly or $10 per member monthly billed yearly at $120 per year. Plus accounts do not include full meeting transcription and receive only a limited trial.
The Business plan costs $24 per member monthly or $20 per member monthly billed yearly at $240 per year, which includes AI Meeting Notes without requiring an external bot.
The Enterprise tier provides custom pricing through Notion sales, adding administrator controls such as transcript auto-deletion and zero data retention with its AI providers by default.
Free and Plus accounts receive a limited trial of Notion AI meeting notes, though Notion does not publish the exact number of trial minutes or meetings.
Participant Notification and Consent Rules
Other people on the call are not notified by default. Based on the options in Notion's help center, Zoom and Microsoft Teams attendees see no alert unless you send the consent message or a workspace admin enforces it.
Selecting the Start transcribing button serves as your confirmation that all participants in the meeting consented to recording.
Notion presents a reminder dialog with three options before proceeding: copy a text message to paste into chat, play an automated voice announcement, or announce consent aloud.
Workspace administrators can enforce compliance by navigating to Settings, choosing Notion AI, opening AI Meeting Notes, and enabling the setting to enforce consent for all workspace members.
Calls hosted on Google Meet operate differently when using the Notion extension, which automatically posts and pins a chat message and displays a visual recording badge over your video feed.
Because Zoom and Teams attendees get no automatic notice, skipping the consent message can break all-party consent recording laws in some US states. Our AI note-taker consent guide explains the consent rules.
Daily Limits and Language Constraints
Notion caps AI meeting transcription at a daily usage limit of 10 hours per user.
A meeting recording requires at least 300 transcribed characters, which equals roughly one minute of spoken conversation, to produce an AI summary. Shorter audio snippets generate no summary blocks.
Notion transcribes 16 languages: English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch, and Swedish.
Automated speaker labeling works in English only. Recordings in the other 15 languages generate transcript text without attributing statements to specific individuals.
Enterprise plans let admins auto-delete AI meeting transcripts on a customizable schedule.
Workspace Storage and Access Permissions
Meeting notes created by Notion AI inherit the exact access permissions of the page or database where they are saved.
Notes are private to you by default.
Users can configure a default meetings database inside workspace settings to organize upcoming sessions into a shared team repository.
Notion includes an auto-share preference that shares completed notes with internal teammates listed on the calendar event.
External participants from outside your company never receive automated access unless you explicitly share the Notion page with them.
Data Security and Model Training Policies
Notion enforces contractual agreements with its third-party AI subprocessors that prohibit customer data from being used to train machine learning models.
Notion engages several AI subprocessors for transcription and summarization, including OpenAI, Anthropic, Fireworks, Baseten Labs, Inc., X.AI LLC, and AssemblyAI Inc. These subprocessors do not retain your meeting audio.
Uploaded meeting audio stays on Notion infrastructure for up to 3 days to reattempt failed processing jobs. The local copy is deleted within 24 hours.
Large Language Model (LLM) providers operate under zero data retention terms by default for Enterprise plan workspaces, as detailed in Notion security documentation.
Notion AI falls within Notion's System and Organization Controls 2 (SOC 2) Type 2 report and International Organization for Standardization (ISO) 27001 certification. Notion says Notion AI enables Health Insurance Portability and Accountability Act (HIPAA) compliance through its LLM providers' zero-retention application programming interfaces (APIs), which are on by default for Enterprise workspaces.
Choice Between Notion AI Meeting Notes and Dedicated Tools
Deciding between Notion AI meeting notes and a standalone meeting assistant depends on where your team documents projects and how often you record calls on mobile devices.
If your organization already organizes documentation inside Notion and pays for the Business plan at $20 to $24 per member monthly, Notion AI eliminates the cost of buying separate software licenses.
Teams that want a separate note-taker can compare Granola pricing. Granola Basic is free with 30 days of visible history, Business is $14 per user per month, and Enterprise is $35 per user per month.
Granola's free mobile apps for iOS, Android and Apple Watch take notes on in-person meetings, and its Business plan adds integrations such as HubSpot, Attio and Affinity plus API access.
Notion AI meeting notes is not suitable for teams that operate on the Free or Plus tiers and refuse to upgrade their entire roster to the Business plan. It is also unsuitable for teams that rely heavily on mobile phone call recording.
Our assessment would shift if Notion bundled meeting notes into the Plus plan without seat upgrade mandates or expanded speaker identification across all 16 supported languages.
Audit your team's weekly call volume and mobile recording habits before enabling Notion AI Meeting Notes across your workspace.
- Choose Notion AI: if your company lives inside Notion, uses desktop video calls, and already maintains Business or Enterprise seats.
- Choose dedicated tools: if you need phone-call capture, notes outside Notion, or direct sync to a CRM.
