Zoho describes the Free plan as free only while revenue for the financial year does not exceed $50K. What happens after that is not published in the pricing page text, so confirm the terms on the Zoho Books pricing page.
Transaction Caps and Usage Thresholds
Zoho's pricing page lists a yearly invoice and bill cap for each plan. The Free plan caps activity at 1,000 invoices and 1,000 bills per year.
Standard raises capacity to 5,000 invoices and 5,000 bills annually. Professional accommodates 10,000 annual invoices and bills. Premium accommodates 25,000 annual invoices and bills, while Elite and Ultimate allow up to 100,000 annual invoices and bills.
Receipt autoscanning limits also scale across tiers. The Free plan includes 50 receipt autoscans per month, Standard and Professional include 200, and Premium, Elite, and Ultimate provide 1,000. Zoho also lists a separate document autoscan add-on at $8 per 50 scans per month billed annually, or $10 billed monthly. The pricing page text does not say whether it raises the receipt autoscan limit, so confirm that on the Zoho Books pricing page.
Scheduled reports are capped too. The Free tier restricts accounts to 5 scheduled reports. Standard allows 50 scheduled reports, whereas Professional, Premium, Elite, and Ultimate allow up to 200 scheduled reports.
Feature Progression Across Subscription Tiers
Each step up from Free adds features. Professional is the first plan with inventory tracking and multi-currency transactions.
The Standard tier adds progress invoicing, sales tax and use tax tracking, and e-filing for Form 1099-MISC and 1099-NEC. It also adds bank feeds, recurring expenses, transaction period locking, custom fields and reports, journal templates, and API access. Standard also upgrades customer support to include voice and chat assistance alongside email support.
Professional adds sales and purchase orders, multi-currency transactions, billing timesheets, project profitability, retainers, and inventory tracking. It also adds price lists, sales and purchase approvals, custom user roles, and collaboration tools (chat, voice, video, screen sharing).
The Premium tier adds basic revenue recognition, fixed asset management, profit margin, budgets, and cash flow forecasting. It also adds a vendor portal, custom domain, custom modules, custom buttons, custom field validation rules, embedded web pages, and custom functions.
Elite adds advanced revenue recognition, customizable dashboards, process blueprints, advanced inventory control, multiple warehouses, composite item bundling, serial number tracking, and batch tracking. Elite also adds shipping labels, shipment tracking, bin locations, and sales channel connections plus up to 2 Shopify stores. Ultimate adds advanced analytics, more than 50 pre-built visualizations, Key Performance Indicator (KPI) tracking, custom report embedding, and capacity for 3 million records.
Which Zoho Books Plan Fits
Free is enough for one user plus one accountant, with annual revenue of $50,000 or less and no more than 1,000 invoices and 1,000 bills a year. A second user who is not an accountant needs a paid plan.
Standard is the first plan with bank feeds, 1099 e-filing, and API access, and it includes 3 users and 5,000 invoices and bills a year. Professional is the first with purchase orders, inventory tracking, and multi-currency transactions. It includes 5 users. Premium adds budgets and cash flow forecasting at 10 users, and Elite raises the invoice and bill cap from 25,000 to 100,000 a year. Ultimate adds advanced analytics and 15 users.
Before subscribing, count your yearly invoices and bills and the users you need, then compare them with the caps above and on the Zoho Books pricing page.
Monthly Add-On Fees and Service Costs
Zoho Books sells optional monthly add-on modules on paid plans to add users, document scans, locations, expense claims, and vendor payments (BillPay).
The Free plan only supports document autoscan add-ons. Extra users cost $2.50 per user per month billed annually, or $3.00 monthly. Tracking locations cost $10 per location per month billed annually, or $12 monthly.
The expense claim add-on costs $7 per active user per month billed annually, or $9 monthly. The BillPay add-on costs $59 per month billed annually, or $69 monthly. BillPay includes 100 Automated Clearing House (ACH) vendor payments per month, advanced purchase approvals, vendor portal onboarding, two-way and three-way Purchase Order (PO) matching, and batch vendor payments.
The document autoscan add-on costs $8 per 50 scans per month billed annually, or $10 monthly. Buyers can review full add-on details directly on the Zoho Books pricing page prior to configuring optional services.
Team Size Calculations for Zoho Books Pricing
Using Zoho's published prices, the totals below add the base plan price and any extra users, at $2.50 per user per month billed annually or $3 billed monthly.
For a 3-person team, the Standard plan includes 3 users. It costs $15 per month billed annually ($180 per year) or $20 per month billed monthly ($240 per year). The Free plan cannot support 3 users because it caps access at 1 user and 1 accountant without permitting user add-ons.
For a 5-person team, organizations can choose between the Professional plan and the Standard plan with add-on seats. The Professional plan includes 5 users for $40 per month billed annually ($480 per year) or $50 per month billed monthly ($600 per year). Standard plus 2 extra users costs $20 a month billed annually ($15 base plus 2 x $2.50), or $240 a year. Billed monthly it is $26 ($20 plus 2 x $3), or $312 a year. While Standard with add-ons costs less, Professional includes purchase orders, inventory, and multi-currency tracking.
For a 10-person team, the Premium plan includes 10 users for $60 per month billed annually ($720 per year) or $70 per month billed monthly ($840 per year). By comparison, the Professional plan with 5 extra users costs $52.50 a month billed annually ($40 base plus 5 x $2.50), or $630 a year. Billed monthly it is $65 ($50 plus 5 x $3), or $780 a year. The Standard plan with 7 extra users costs $32.50 a month billed annually ($15 base plus 7 x $2.50), or $390 a year. Billed monthly it is $41 ($20 plus 7 x $3), or $492 a year. Standard with 7 extra users is the cheapest of the three, but it lacks the Professional and Premium features listed above.
